Meeting minutes summary

The MyPSA General Meetings is held regularly among the MyPSA Executive Committee, Mainboards and Subcommittees to discuss arising important matters and decide on the most appropriate course of action. The Mainboards, consisting of the President/ Vice President and Contact Persons of each local society are the decision makers that will cast their vote. Then, the action that has the majority votes will be implemented. As the General Meetings mostly concern the above mentioned parties, this section is specifically dedicated to expose MyPSA members to the flow and proceedings of the General Meetings in a
summarized format to facillitate better understanding.

MyPSA 1st General Meeting 2023/24

On 16th February 2024, our 1st General Meeting was held successfully via Zoom meeting. The meeting is successfully held by all the Mainboards, Presenters, ExCos, Observers and Subcommittees of MyPSA.

This meeting discussed the updates regarding National Events which are 7th MyPSA National Pharmacy Research Competition (NPRC) 2024 and 17th MyPSA National Pharmacy Sports Carnival (NPSC) 2024.

In addition, we are glad to announce that TAYLOR’s has successfully bid to host the 19th MyPSA NoGAPS 2024 while UoC has successfully bid to host the 10th MyPSA National Pharmacy Debate Competition (NPDC) 2024.

Lastly, we would also like to congratulate IMU and MAHSA for being appointed as the host universities for the 4th MyPSA National Pharmacy Competition (NPC) 2024.

2. Approval and updates on MyPSA International Activity Sponsorship Plan

  • MyPSA International Activity Sponsorship Plan is used to:
    • Emphasise the importance of actively engaging in co-curricular activities while excelling in academics
  • Mechanism: 
    • Obtain CPD Points in 2022/23
    • Submit the Application Form with Academic Results and Parent’s Salary Slip
    • Announcement via email within 7 days after application form closed
    • Reply email to confirm sponsorship in 3 days
    • Provide Testimonials and Bank Information after event
  • Criteria:
    • Academic (CGPA)
    • Co-curricular (CPD Points in 2022/2023)
    • Financial Status
  • Sponsorship Monetary Award
    • Highest Rank - RM 350
    • 2nd Highest Rank - RM 250
    • 3rd Highest Rank - RM 150

3. Approval and updates on MyPSA Financial Installment Plan

  • The Financial Instalment Plan (FIP) is an initiative aim at providing financial support for MyPSA members from lower-income families who wish to participate in international events organised by IPSF.
  • Procedure of application
    • Application form with parents’ salary slip posted to MyPSA Vice President II
    • Installment Agreement must be signed upon successful application
    • 25% or 50% of total event registration fee covered by MPS
    • Applicant repays the loan within installment period of 6 months after successful registrations
  • Late payment penalties
    • Extra charge for applicants who failed to make installment payments by the 7th of the month
    • Applicant’s registration will be terminated if failed to make payment by the 14th of the month or by the deadline set
    • The remaining debt will be borne by the local society
    • Failure to fulfill the debt will result in termination of MyPSA membership and blacklisting from MyPSA, IPSF, and MPS events

 

4. Updates on subcommittee resignation

  • Ms. Tay Yen Khieng, subcommittee from Entrepreneurship Office 23/24 resigned due to withdrawal from Pharmacy School.

5. Updates on MyPSA 4th National Pharmacy Competition (NPC) 2024

On 4th May 2024, our 2nd General Meeting was held successfully via Zoom with the participation of all the Mainboards, Presenters, ExCos, Observers and Subcommittees of MyPSA.

During this meeting, various topics were discussed including the MyPSA Continuing Professional Development (CPD) System, MyPSA International Activity Sponsorship Plan and MyPSA Financial Installment Plan. Moreover, updates were provided regarding subcommittee resignation and the progress of 4th MyPSA National Pharmacy Competition (NPC) 2024.

6. Guidelines on Scouting External Sponsors by Local Society for MyPSA National Event Participants

    • Objectives:
      • To provide a structured & clear approach for the local society to scout & secure external sponsors for participants of MyPSA National Events.
      • To ensure that the sponsorship efforts are aligned with the values & objectives of MyPSA and do not conflict with the sponsors of the MyPSA National Events.
    • Criteria For Proposed SOP: Participants require additional financial or in -kind support.
  • Proposed Mechanism:
    • 3.1 Identification of Potential Sponsors
      • Research and create a list of potential sponsors.
      • Indicate the purpose of securing sponsors is for the participants & not for the National Events itself.
    • 3.2 Approval Process
      • Approach supervising officer (s) of the respective MyPSA National Event(s).
    • 6.2.3 Implementation & Reporting
      • Once approved, may proceed with reaching out to the potential sponsors through email.
      • Regularly report the progress & outcomes.
